On Show Travel General Terms and Condition
 

The following General Terms and Conditions apply for all bookings made with On Show Travel. Please read these terms and conditions carefully before making any booking with On Show Travel. Receipt of your Booking Form and deposit is your acceptance and understanding of these terms and conditions.

Fees for Service 

In order for us to provide a professional level of service and cover the costs of arranging your travel requirements, we charge various fees for service. The amount charge will depend on the service provided. 

Prices 

Prices are shown in Australian dollars. Schedules and availability, fare conditions and prices can change at any time, until your booking is paid in full by you. Price changes may occur for reasons outside of our control which increase the cost of the products or service. Such factors include currency fluctuations, fuel surcharges, taxes and airfare increases.

Deposits 

On Show Travel requires a booking deposit which is charged per person and deducted from your final balance. The deposit is non-refundable if you should cancel your booking, however, On Show Travel may, at its discretion, offer to hold the deposit to be applied against a new booking for a period of 6 month from the date of cancellation, but if not utilised within that 6 month period, it will be deemed as forfeited Additional deposits may be required by travel service providers.

Payments 

All prices are based on payment by cash or cheque. Credit card surcharges of 1.5% for Visa or Mastercard, 3% for American Express Card and no charge for cryptocurrencies if you elect to use them for payment. You can also opt to make direct deposits into our nominated bank account which takes 24 hours to be processed into our account. If for any reason any travel service provider is unable to provide the services for which you have contracted, your remedy lies against that provider, and not against On Show Travel. 

Cancellations, Refunds & Amendments 

Cancellation must be made in writing and all tickets issued must be returned together with the cancellation notice. Travel service providers may charge cancellation fees and/or amendment fees. These charges can be up to 100% of the cost of the booking. Fees and extra charges will apply where a booking is changed. Fees and extra charges will also apply when tickets or documents are re-issued. Where we incur any liability for a cancellation fee or are charged for any booking you cancel, you agree to indemnify us for the amount of the fee or charge. If you cancel before full payment a cancellation fee equal to your deposit will be charged. After final payment, an On Show Travel cancellation fee of 10% applies. 

 


Passports & Visas 

It is your responsibility to ensure all travel documents and entry visas are in order for your travel. Passports are required for all international travel. Passports must have a minimum of 6 months validity from the date of scheduled return to Australia. Travel documents and airline tickets must match EXACTLY with the name and spelling as appears on the passport prior to ticketing. We will not be liable for any incorrect information given to us nor for any re-issue fees imposed by travel service providers should re-issue of documentation be required. If travelling on any passport other than Australian you must inform us immediately as it may be necessary to obtain a re-entry visa into Australia or visas for other countries.  Issuance of visas is not the responsibility of your travel agent and we cannot be held responsible should you be unable to obtain the correct visas to undertake your journey. 

Health

You must ensure that you are aware of any health requirements for your travel and ensure that you carry all necessary vaccination documentation when travelling to certain countries. Please check with your GP or specialist vaccination clinic such as Travel Doctors.

Travel Insurance 

Travel insurance is highly recommended for all travellers. Please ensure you take note of the special inclusions and exclusions as they may relate to your particular circumstances. Pre-existing medical conditions and cover for these are approved or rejected by the insurer. If you have taken out another Travel Insurance Policy or believe you have adequate cover from a credit card policy we will require details of the insurance cover that you hold. If you choose not to take out travel insurance, kindly sign the insurance waiver form provided. Please note that if you have purchased travel insurance from a source other than On Show Travel and subsequently require our assistance in processing an insurance claim, this will incur a fee of $110.00 per claim. 

Travel Documentation 

Travel documents include (without limitation) airline tickets, hotel vouchers, tour vouchers or any other documentation used to confirm an arrangement with a travel service provider. Travel documents may be subject to certain conditions and/or restrictions including being non-refundable, non-changeable and subject to cancellation and/or amendment fees. These documents cannot be transferred to use. All airline tickets must be issued in the name of the passport/photo id holder. An incorrect name on a booking may result in an inability to use that booking and it may be cancelled. Any errors in names, dates and timings on your documentation will be your responsibility if not advised at time of booking. As a general rule, your travel documents are issued by the travel service providers two weeks prior to departure.  For any amendments after final payment a fee of $55 per document plus supplier and airlines fees will be charged.


Third Party Suppliers 

On Show Travel, as a licensed travel agent, acts only as an agent for services supplied on behalf of third parties such as transport, accommodation and other travel service providers. Each travel service provider operates under their own terms and conditions. By booking services with a travel service provider you are subject to their own terms and conditions. While care is exercised in the selection of reputable travel service providers, bookings are made on your behalf subject to their terms and conditions. It is your responsibility to ensure you are familiar with these terms. If you require further information about third party supplier’s terms and conditions, please ask your travel consultant. 

Special Requests

Passengers with special request such as dietary requirements, preferred room configurations (eg twin, double) or airline seating preferences should include these on their booking form. These will be passed onto our travel service providers. Please understand that all requests are not guaranteed and are out of the control of On Show Travel.

Privacy Statement 

By completing and signing the Booking Form you consent to On Show Travel using your personal information for the purposes of completing the necessary bookings and travel related arrangements on your behalf. Your contact information will be required by travel service providers to accept and confirm a booking. Privacy Law safeguards your personal details. Your information may be used by On Show Travel for the purpose of relaying information to travel service providers. 

Tour Operations

While On Show Travel will endeavour to ensure that travel and tours are operated as advertised it is an express condition of making a reservation that itineraries are subject to change without notice. Unforeseeable circumstances, such as force majeure, which may affect the content of your travel, will not result in any liability or a claim to compensation from On Show Travel.

On Show Travel Schedule of Fees (in addition to any applicable supplier fees)

International ticketing fee $55 per ticket
Domestic ticketing fee $33 per person per ticket  
Amendments requiring re-issue: Domestic: $55 per ticket, International: $110 per ticket
Cancellation Fees before final payment: Loss of deposit per person
Cancellation Fees after final payment: 10% of total booking
Itinerary Planning Fee: Domestic $55 per booking, International from $110 per booking 
Frequent Flyers Redemption: Domestic $55 per ticket, International $110 per ticket 
Late Booking Fee within 14 days prior to travel: $100


On Show Travel Hosted Tours

In addition to the above General Terms and Conditions the following conditions apply to all On Show Travel Hosted Tours:

Minimum Numbers

On Show Travel sets a minimum number of participants for each hosted tour. Should the number of bookings be less than the minimum set, we reserve the right to cancel the tour. A full refund of all monies paid will be made in such circumstances.

Insurance

All passengers must have travel insurance when travelling on an On Show Travel hosted tour.

Health and Fitness

You must be reasonably healthy and fit enough to participate in the activities on tour. On Show Travel reserves the right to remove travellers from the tour at their own expense if their health and fitness interferes with the tour and other traveller’s experience. We do not provide carers or assistants for those with reduced mobility. Each tour will have a physical rating, and minimum fitness requirements.

Publication of Images

You agree that On Show Travel may take photographs of you on tour to use in our group brochures and advertising material (on-line or printed form).

Should there be any other tour specific terms and conditions, these will be included in the tour brochure.
